How to Send Large PDF Files by Email (Shrink the PDF or Send a Link)

A PDF that is too big for email can be made smaller in Preview or an Office app, or sent as a link. Compare compressing, Mail Drop, Drive and transfer links, with limits from vendor pages.

Published

A large PDF usually has two fixes: make the file smaller until it fits, or send a link instead of an attachment. Personal Gmail attaches up to 25 MB, and Outlook has a default of 20 MB for internet email accounts. A PDF full of scans, photos or exported slides goes past that quickly. Try shrinking it first when the reader only needs to read it. Send a link when the PDF has to stay exactly as it is.

Shrink it, or send it as is

  • The reader will view it on a screen: compress the PDF.
  • The PDF is going to a printer, or a designer needs the full-resolution images: do not compress. Send a link.
  • Compressing still leaves it too big: split the PDF into parts or send a link.
  • The PDF is sensitive: add a password to open it, and think about who can open the link as well.

Ways to get a large PDF to someone

Limits below come from each vendor's own help pages and were last checked on October 16, 2026. Vendors change them, so open the linked page if the exact number matters.

How to make a PDF smaller

Pick the tool you already have. All three below are the vendors' own instructions.

Preview on a Mac. Open the PDF in Preview, choose File > Export, pick Reduce File Size in the Quartz Filter menu, and click Save. Apple lists these steps and warns that the result may be lower quality. For finer control, Apple's page offers checkboxes in the same Export dialog: Optimize images for screen and Save images as JPEG, which Apple describes as converting images to a format that uses image compression.

Preview on an iPhone. Open the PDF, tap the arrow next to the file name, tap Export and choose PDF. Turn on Optimize Images for Screen to reduce image resolution for screen viewing, which creates a smaller file.

Office desktop apps. Microsoft's save-as-PDF page lists a Minimum size option for Excel, PowerPoint, Visio and Access, among others: select Minimum size (publishing online) if file size is more important than print quality, or Standard (publishing online and printing) if the document requires high print quality. If you still have the source file, exporting it again with that option can be easier than compressing a finished PDF.

The two Apple options above act on the images inside the PDF, so a PDF that is mostly text may not shrink much. If it is still too large, split it into parts or send a link.

  1. Pick the service from the table above.
  2. Upload the PDF and wait for the upload to finish.
  3. Copy the link and paste it into your email with a line saying what the file is.
  4. Check who can open it. A link anyone can open is convenient for a brochure and a poor fit for a contract.

A password can sit in two places. Preview can protect a PDF with a password that must be entered to open the file, so the password applies to the PDF itself. A password on a transfer link locks the download page. It does not change the PDF inside. For something confidential, use whichever fits how the file will be handled, and send the password in a separate message from the link.

Send a large PDF with Roceet

Use Roceet when the PDF is past your mailbox limit and you would rather not shrink it. Drop the file below, enter your email and the 8-digit code we send you, and copy the link into an email. Your reader downloads the original PDF from the link. They do not need to sign up for anything.

On Roceet:

  • Free: each transfer can be up to 2 GB. You choose when a link expires, up to 2 days. There is no monthly cap on how many transfers you send. Your 2 GB storage balance gets space back when the files are deleted.
  • Ultimate: $16.99 per user per month. Up to 200 GB per transfer and links that last up to 30 days, for PDFs and packs that run past 2 GB.
  • Controls: you can add an optional password and a download limit to a transfer. You choose when the link expires, up to your plan's lifetime, and can extend it any time. Expired links can be restored for 2 days on Free and 7 days on Ultimate.

If the PDF fits in an email after a quick compress, attach it. A link is the better pick when quality matters or when the file will not shrink enough. For the limits of each mail provider, see how to send large files via email, and for photo-heavy files see how to send large photo files.

Frequently asked questions

Support
How do I send a PDF that is too big for email?
Make it smaller or send a link. In Preview on a Mac, export with the Reduce File Size filter. In Office apps such as Excel and PowerPoint, save as PDF with Minimum size selected. If it still does not fit, upload the PDF to a transfer service or Google Drive and paste the link into your email.
How big can a PDF attachment be?
That depends on the email account. Personal Gmail allows 25 MB, and Outlook's default for internet email accounts is 20 MB. Apple's Mail Drop reaches 5 GB by sending a link.
Will compressing a PDF hurt quality?
It can. Apple warns that a compressed PDF may be of lower quality than the original. Fine for reading on screen, but not for print files or documents where images must stay sharp.
How do I send a big PDF without making it smaller?
Send it as a link. Roceet carries up to 2 GB per transfer on Free and up to 200 GB on Ultimate, and the person you send it to downloads the original file.
Do I need an account to open a Roceet link?
No. Whoever gets the link opens the download page and saves the PDF. The sender confirms an email address once, with an 8-digit code.
How long will the PDF stay available on Roceet?
You choose, up to what your plan allows: 2 days on Free, 30 days on Ultimate. When the date arrives the link stops working, and you can extend it before then. You can delete the transfer yourself earlier.
Can I password protect a PDF I send?
Two ways. Preview can put a password on the PDF itself, and Roceet can put a password on the transfer, with an optional download limit. Send any password separately from the link.
